Eligibility

What are the general AMS eligibility requirements?

All AMS employees and volunteers must be assessed the full slate of mandatory fees at the time of applying to a position. Of the optional fees, they must pay the AMS Membership Fee. If you have opted out of other fees such as optional club fees, you are still eligible.

All AMS employees and volunteers must be in good academic standing as defined by their program at the time of applying and for the duration of time they are working or volunteering with the AMS.

All AMS employees and volunteers must legally be able to work in Canada.

Am I eligible to apply for a salaried position?

Salaried positions are broken up into part-time salaried (less than 30 hours/week) and full-time salaried (more than 30 hours/week).

For part-time salaried positions, you must have met the general requirements of all AMS employees as well as be enrolled in 60% of a full course load. For full-time salaried positions, you must have met the general eligibility requirements of all AMS employees as well as be enrolled in a minimum of 3.0 credits each semester. Anyone applying for a full-time salaried position and planning to be in a full-time course load (9.0 credits or more in either or both semesters) must declare their intentions at the time of the interview and must receive written permission from the Executive.

All AMS employees must have a valid social insurance number and be legally able to work in Canada.

Am I eligible to apply for a part-time hourly position?

For part-time hourly positions, you must have met the general requirements of all AMS employees as well as be enrolled in 60% of a full course load.

If the applicant is a part-time student, they are still eligible as long as they have been assessed the full slate of mandatory fees. They must have paid their AMS Membership Fee.

All AMS employees must have a valid social insurance number and be legally able to work in Canada.

Am I eligible to apply for a volunteer position?

For general volunteer positions, applicants must have met the general eligibility requirements and be in 60% of a full course load.

For volunteer positions that are eligible for an honorarium, applicants must have met the general requirements as well as hold a valid social insurance number. Honoraria refers to the monetary sum paid as a sign of gratitude and dependant upon the discretion of the AMS for services that are rendered by the volunteer without charge.

If the applicant is a part-time student, they are still eligible to apply as long as they have been assessed the full slate of mandatory fees. They must have paid their AMS Membership Fee.

Am I eligible to apply as a part-time student?

Part-time students are eligible for AMS positions as long as they meet the general eligibility requirements of all AMS employees and volunteers as outlined below.

All AMS employees and volunteers must be assessed/paid the full slate of mandatory fees at the time of applying to a position. Of the optional fees, they must pay the AMS Membership Fee. If you have opted out of other fees such as optional club fees, you are still eligible.

All AMS employees and volunteers must be in good academic standing as defined by their program at the time of applying and for the duration of time they are working or volunteering with the AMS.

Am I eligible to apply in the Fall Semester?

There are additional requirements for anyone looking to apply for a position in the fall semester. These specific requirements only apply to part-time hourly positions in the major services. These include positions at the Peer Support Centre, Studio Q, Walkhome, Queen’s Student Constables, Printing and Copy Centre, Student Life Centre, The AMS Pub Services, Tricolour Outlet and Common Ground Coffeehouse.

Positions are available to the following categories:

  • Members who are in their first year of study at Queen’s University
  • Members who were on exchange or otherwise studying off campus as a requirement of their academic program during the spring hiring period, this includes students returning from the Bader International Study Centre
  • Members who have been awarded work study funding that will be applied towards the position for which they are applying (regardless of whether they were unsuccessful applicants during the previous spring hiring period)
  • Members who were unable to apply during the spring period due to extenuating circumstances, subject to the approval of the Director of Human Resources.
I was terminated from my previous AMS position, what are my eligibility restrictions?

Anyone who has been terminated from an AMS position, or have received seven (7) or more demerits during their employment their employment in a given office or service, shall not be eligible for exemption. The individual will not be eligible for employment in the AMS until the conclusion of the academic session after the period which their employment ended.

I have been previously employed in the AMS, how is my eligibility impacted?

No student shall be eligible to be a member of Senior Management for more than two (2) years, unless as an elected Executive. Senior Management includes the Executive, the Government Directors, the Government Commissioners and the Head Managers of Corporate Caucus.

A student who has been an Assistant Manager of a corporate service is eligible to become the Head Manager of that same service.

A student who has been a Head or an Assistant Manager at a corporate service shall be eligible to serve as a Head or Assistant Manager of a different corporate service.

No salaried staff member or honoraria recipient may stay in the same position for more than one (1) year, nor may they work in the same position with a different portfolio. In general, salaried staff members and honoraria recipients must:

  1. Move upwards in the service, office or commission they currently work in,
  2. Move to another service, office or commission.

No volunteer or salaried staff member will be able to volunteer with or be employed in a position for which they were responsible for supervising in the past.

Employees will not be considered eligible for rehire in a major service if they have received seven (7) or more demerits. These include positions at the Peer Support Centre, Studio Q, Walkhome, Queen’s Student Constables, Printing and Copy Centre, Student Life Centre, The AMS Pub Services, Tricolour Outlet and Common Ground Coffeehouse.

Am I eligible to apply if I am a member of the Society of Graduate and Professional Students or completing a Masters in Business?

If you are a graduate student, JD candidate, or teacher candidate at Queen’s University, you are considered an SGPS member (Society of Graduate and Professional Students) and therefore are not an AMS member. This means you are not eligible to apply to any salaried positions in the AMS. For part-time hourly positions, you may apply to be a Service Staff at the Student Life Centre or Walkhome. For volunteer positions, eligibility requirements may be extended to include SGPS members at the discretion of the Executive, in the event that there is a shortage of qualified applicants.

If you are a MBA student, you are eligible to apply to positions in the AMS, given that you are an AMS member

In addition to the general eligibility requirements, what should I know when applying as an international student?
  1. In order to be eligible for work, the student needs to be in full-time studies. There is a policy referring to academic breaks such as May-August for undergraduate students. During the scheduled academic break, regardless of whether or not they take course, as long as they are registered as a full-time student in the term before and after the break, they can work full-time anywhere in Canada during the break. This is a little tricky for graduate students as most of the graduate programs don’t have a scheduled break at all, even in the summer. As a result, the break policy doesn’t apply to them. If a Master’s degree has a scheduled break, then students in that program could work full time during this break. Students need to keep all documents in case they will be questioned by a Canadian immigration officer in any occasion.
  2. They need to have a valid social insurance number (SIN).
    • The Queen’s University International Centre (QUIC) occasionally has Service Canada come to campus in the early fall. These sessions are by appointment only. There is also a SIN office at Toronto Pearson Airport or they can go directly to a Service Canada.
    • Service Canada will only provide a SIN if the student’s Study Permit indicates that they can work on-campus. If they need to amend their Study Permit, this is a paper application that can take about a month to process before they would be able to get their SIN through Service Canada.
  1. Students who are eligible to work on-campus can work off-campus for up to 20 hours a week, excluding students at the School of English. Other than this time restriction, there is not a limit to the number of hours a student with a Study Permit can work on campus.
  2. In order to receive remuneration for time worked as a direct deposit, students must have a Canadian Bank Account.

I have never worked for the AMS before, can I apply?

Yes! All opportunities in the AMS are no AMS-experience necessary. The organization works hard to make all roles learning opportunities and a place to gain valuable professional experience.

Will I be required to submit a resume, cover letter, portfolio or writing sample when applying?

As all positions are no-AMS experience necessary, you may be required to submit a cover letter, resume, writing sample and or portfolio for specific positions in the AMS. These positions typically include salaried positions and opportunities at Studio Q and The Queen’s Journal.

How many jobs can I apply to?

The major services include the Peer Support Centre, Studio Q, Walkhome, Queen’s Student Constables, Printing and Copy Centre, Student Life Centre, The AMS Pub Services, Tricolour Outlet and Common Ground Coffeehouse.

If an applicant is applying to be a Service Staff at a major service, applicants can apply to a maximum of two (2) major services. If an applicant is applying to be a Supervisor at a Major Service, applicants can apply to a maximum of two (2) major services. Part-time hourly positions not within the major services do not count towards this restriction.

If an applicant is applying for a managerial position in either the corporate or the government caucus, individuals can apply to a maximum of three (3) managerial positions in either the corporate or the government caucus. This does not include AMS Senior Management positions which includes the Executive, Office Directors, Commissioners and Head Managers.

If an applicant is applying to an AMS Senior Management position, they can apply to a maximum of two (2) positions. If an applicant is interested in explicitly working in the government caucus or the corporate caucus, they must submit one application for their first choice position, and note their second choice position in the provided space on the application page. If they are interested in one position in the government caucus and one position in the corporate caucus, they may submit two different applications and note this in the space provided for additional preferences.

How many volunteer positions can I apply to?

For volunteer or volunteer honorarium positions, applicants can apply to and hold as many opportunities as they would like to. If you are in a volunteer position that is eligible for an honorarium exceeding $1,000, you are ineligible to apply for a position at a major service. These include positions at the Peer Support Centre, Studio Q, Walkhome, Queen’s Student Constables, Printing and Copy Centre, Student Life Centre, The AMS Pub Services, Tricolour Outlet and Common Ground Coffeehouse.

There is no limit to how many volunteer positions a person can hold at one time, excluding employees in part-time salaried and salaried roles. If you have specific inquiries regarding this restriction, please contact hr@ams.queensu.ca.

If I apply to two (2) part-time hourly positions, can I rank my choices?

Yes! If you are applying to multiple part-time hourly positions, AMS apply will prompt you to submit your preferences following the second application. You can change this selection later by clicking on your Profile at the top of the page on myams.org/apply.

If both hiring managers would like to hire you, the Director of Human Resources will make every effort to place you based on your preferences.

How do I withdraw an application?

If you are withdrawing your application before the application deadline, you can go under the “My Applications” tab on AMS Apply and hit the withdraw button to the corresponding job posting. If you wish to withdraw after the application deadline, please email the Talent Acquisition Manager at talent@ams.queensu.ca.

What if I miss the deadline to submit my application?

Positions in the AMS are extremely competitive. If there were extenuating circumstances, please reach out to the Talent Acquisition Manager at talent@ams.queensu.ca.


Interviews


I have never had an interview before. How can I prepare?

Before the interview

Do your research! Use myams.org to find out more about the service, office, or commission you are applying to and take time to read through the job description on my AMS Apply again. You can also refer to the AMS Hiring and Appointment Policy and Procedures Manual for more clarification on the interview process.

Prepare and practice! Think about some common interview questions and what you would like to touch on before going into the interview. This will help you engage with the hiring panel and to not fumble over your words.

Arrive on time!! If you are unable to make your scheduled interview time, don’t be afraid to reach out the relevant hiring panel for an alternative time or contact the Talent Acquisition Manager at talent@ams.queensu.ca who will put you in touch with the right person(s).

Write notes beforehand if this is something that would help you during the interview! It is okay to bring notes to the interview.

The AMS is no AMS experience necessary. We encourage individuals to reflect on their life experiences and personal goals. Think about how your skills and accomplishments align with the position.

During the interview

All AMS interviews will provide applicants with a hard copy of the interview questions and a pen. Take some time to reread the question and jot down notes to collect your thoughts.

Don’t be afraid to ask for clarification if you are confused by a question.

Show the hiring panel that you are perfect for the job by referring to relevant examples and life experiences.

Be honest and be yourself. Show the hiring panel who you are, and what you have to offer!

After the interview

Relax and congratulate yourself for completing the interview process!

Following the last applicant’s interview, the hiring panel has 48 hours to contact you regarding the outcome of your application. If this needs to be extended, the hiring panel will contact you to inform you of this change in timeline.

You can expect an email or a phone call regarding the outcome of your application status.

How do I find my interview?

If you need directions to any of the interview rooms, please visit the Student Life Centre front desk, located at the entrance of the JDUC.

How long will my interview be and who will be interviewing me?

Depending on the position(s) being applied to, the hiring panel will ask 3-7 questions lasting anywhere from five (5) to 30 minutes.

When and where will my interview time be posted?

As per the AMS Hiring and Appointment Policy and Procedures Manual, interview times will be posted 72 hours after the application closes. This many not always be possible
where it is not possible, you will be contacted by the hiring manager and made aware of when interview times will be posted. If applications have been extended, you will also be made aware of this.

On AMS Apply under ‘My Applications’, you will be able to see your updated status an interview time.

What if I need to reschedule my interview time?

If you need to reschedule your interview, you should contact the hiring manager for the position you are applying to. If you are unsure who the hiring manager is, please contact the Talent Acquisition Manager at talent@ams.queensu.ca.

What if I need an accommodation for the interview?

The AMS is an equal-opportunity employer and will strive to provide interview accommodations if brought to our attention. On all AMS Apply applications, applicants are asked to indicate any accommodations they may have.

Do I need to bring anything to my interview?

Unless otherwise stated by the hiring manager, you do not need to bring any other materials to the interview.

If you have made notes in preparation for the interview or would like to bring a notebook, you may do so.


References


What if I do not have a previous employer or supervisor to use as a reference?

The AMS asks you to provide two references when applying for any position. These references do not have to be a previous employer or supervisor, but simply someone who can accurately comment on your suitability for the position. However, it is strongly recommended that references be individuals positioned to offer objective assessments (e.g. not housemates, family, or partners). For example, if you are living in residence, this could mean asking your DON for a reference. References do not have to be from Queen’s or Kingston.

Any references used should be notified prior to applying that they may be contacted.

Will the AMS always contact my references?

Reference checks for successful applicants is recommended but not required. Thus, applicants are encouraged to fill out the application with the expectation that references will be contacted. References should be positioned to offer objective assessments of the applicant. The hiring panel has the discretion to consult additional references it deems relevant.

An applicant cannot list members of the permanent staff or members of the hiring panel for the position to which they applied as official references.

What if my references are international?

Depending on the position(s) being applied to, the hiring panel will ask 3-7 questions lasting anywhere from five (5) to 30 minutes.

If your references are international and you would prefer the hiring manager contact them via email, that is perfectly okay. Please contact the Talent Acquisition Manager at talent@ams.queensu.ca or the hiring manager directly to ensure the hiring panel is receiving the correct information.

What kind of questions will the hiring manager ask my references?

References must be individuals positioned to offer objective assessments of the applicant.

In general, hiring panels are seeking to verify that in reality your actions and behaviours align with how you represented yourself to the hiring panel.


Status of Application


Where can I find the status of my application and what do the terms mean?

The status of your application can be found on AMS Apply, under the “My Applications” tab. There will be one of the following statuses for each position that you apply to:

  • Pending – The hiring panel is reviewing your application.
  • Interview – You have received an interview time, please note the time and room location of your scheduled interview.
  • Hired – You have been Hired for the position and your hiring manager will be reaching out to you directly!

Not Hired – You are no longer being considered for the position. Keep an eye on AMS Apply as more opportunities may become available later.

When will my interview time be posted?

As per the Hiring and Appointment Policy and Procedures Manual, interview times and locations will be posted on AMS Apply a maximum of 72 hours after the application has closed. If this is not possible, or a position’s application has been extended, the hiring manager will inform applicants of the delay.

When will a decision be made following my interview?

Application statuses will be updated on AMS Apply 48 hours after the final interview has concluded. If this is not possible, or there is a prolonged period of time between the second last interview and the last interview, the hiring manager will reach out to all applicants to inform them of the delay.

What does it mean to be “lotteried out”?

Positions in the AMS are extremely competitive, with some postings receiving an exponential number of more applicants than positions available, making it impossible for the hiring panel to interview all candidates. Under the AMS Hiring and Appointment Policy and Procedures Manual, in this case, the hiring manager will allocate interview slots to a select number of candidates based on their written application and the lottery system.

If I am seeking more information on a hiring decision, who should I contact?
